33 calendar. Specifically, student performance organizations must ensure that rehearsals and events do not conflict with music and theatre department rehearsals or performances. Additional Approvals. Some campus spaces require additional approvals. These spaces include the Spiro Sports Center, outdoor spaces, Faculty Dining Room, the Main Dining Hall, Manzulli Board Room, the Chapel, the Main Hall Theatre, and the Music Performance Center. The process for reserving these spaces is to request the space through the Student Engagement & Activities staff and they will request the approval on your behalf. Please recognize that this process may take an extra week for approval. If use of the Music Performance Center is requested, organizations will be directed to the Music Department to complete a separate space usage Letter of Agreement, which must be submitted before the department approves the event. The Music Department will review all requests for the Music Performance Center, but please be aware that although the space may be ‘open’ on a given date, it may be set up for dress rehearsals, certain equipment may be unavailable, or there may be other considerations that make the space unavailable for use at a particular time. Be advised that special approval from the Director of Student Engagement & Activities is needed for events taking place during reading days or final exams. Advisors and SEA Staff Roles. The advisor will receive an email copy of their organization’s space requests. The advisor can choose to alert the Office of Student Engagement & Activities if the space request is of concern. Therefore, it is essential that student organizations communicate with their advisor regularly. After space is reserved, student organizations must work with their advisor to reserve additional event services such as media, catering, housekeeping, etc. The Office of Student Engagement & Activities reserves the right to approve or deny events at any time. Campus Space Usage Policies • Food and drink (with exception to water) are strictly prohibited in the Manzulli Board Room (Foundation Hall), the Music Performance Center, Spiro 2, and all music classrooms and studios. • Food may be consumed in all other spaces on campus; however, the food must be properly cleaned up after the event. • Cleaning up is the responsibility of the sponsoring student organization. Clean up involves disposing of all trash in an appropriate container, placing all recyclables in an appropriate container, and emptying all liquids into a sink area before placing them in the trash or recycling. Before leaving a space, student groups should turn off lights, air conditioning units, media such as projectors, laptops, etc., and close all windows. Student organizations who violate this policy may receive sanctions from the Office of Student Engagement & Activities or the Student Government Association. • Students and guests of the College may not sit or stand on furniture (except when the furniture in use is specifically designed or sitting or standing) or other College property. Furniture or other College property should not be removed from the room. All furniture or other property, if moved during the event, must be returned to its original place after the event. No food or drink can be placed on pianos or other instruments at any time. • Reserved spaces can be unlocked or locked by contacting Campus Safety at 718-390-3148. If upon arrival the space is in poor condition, please take a photograph of the space and email it to the Director of Student Engagement & Activities. Residence Hall Lockout Policy Students are considered locked out of their rooms when they have exhausted all possibilities for locating their room key, including waiting for roommates to return home if the key was left in the room. If a student is locked out, the student should go to the Resident Assistant (RA) office in the lobby to see if an RA is present to perform the lockout. If an RA is not present in the office, the student should go to the front desk of the hall, and the front desk will contact the RA on-call, who will perform the lockout.
